CRM for property management companies

Property management software is usually strong on accounting and weak on everything a manager actually does between the first of the month and the next. Maintenance arrives by text, vendors are coordinated by phone, and owner reporting is rebuilt by hand — none of which the ledger knows about.

Where the generic CRM breaks:

Requests are not objects. A tenant text is not a ticket. Without a request record tied to a unit, work gets lost between staff and nobody can see which building consumes the budget.

Vendor spend disconnected from cause. You can see what you paid a plumber and not what triggered it, which makes recurring problems invisible until a unit has quietly cost a year of rent.

Owner reporting assembled by hand. The biggest recurring time cost in the business and the largest source of errors that damage owner trust, done manually every month.

Leasing kept in a separate CRM. Availability lives with operations and enquiries live in a sales tool, so nobody can answer how fast a unit actually turns.

The data model that actually fits:

Unit. The atom of the business. Tenancies, tickets, work orders and cost all hang off it, which is what makes per-unit profitability real.

Maintenance request. Captured with photos from a text or a link with no app and no login, assigned and tracked to completion.

Work order. Issued from the request and reconciled against the vendor invoice, so cost always traces back to cause.

Owner statement. Generated from the same ledger that records the work, on a schedule, rather than assembled from three sources each month.

Our verdict: Keep the accounting platform. Build the operational layer: tenant intake that accepts a text, work orders that link to their cause, and owner statements that generate themselves. Owners judge you on the statement arriving on the same day every month, not on its formatting.

Will tenants actually use a maintenance portal?

They use whatever is easiest, which means it must accept a text message and a photo with no app and no account. Portals that require registration get bypassed and the requests go back to somebody's personal phone.

Why link work orders to tickets?

Without the link you can see spend but not cause, which makes it impossible to identify the unit or building quietly eating the maintenance budget. That link is usually where the first real saving is found.

Does this work for condo and HOA management?

Yes, with a different reporting layer — boards need different reporting from individual owners. The maintenance and vendor mechanics underneath are identical.

Is short-term rental management the same problem?

Partly. Turnover frequency and guest communication dominate, so scheduling and messaging matter more than owner statements, but the unit-centred model still holds.
