Two failures cost staffing agencies real money: placing someone whose certification lapsed last week, and billing a client from timesheets that arrived as photographs. Both are data problems dressed up as people problems.
Document-driven professional services. Documents, deadlines and approvals connect clients to the next responsible person. Each specialty has its own access rules, review requirements and delivery process.
Sub-niches covered: Light industrial and warehouse staffing, Healthcare and nursing agencies, Trades and construction recruiting, Professional and executive search, Employer of record and PEO services, Payroll outsourcing.
You likely have this problem if:
A credential expired and the client found out first.
Timesheets arrive as photographs.
Candidate availability is tracked by phone call and memory.
Margin per placement is known at month end, not at booking.
The same hours get typed into payroll and invoicing separately.
What breaks operationally:
Certifications and licences expire without warning and the lapse is discovered by the client.
Timesheets arrive as photos and are re-typed into payroll and invoicing separately.
Candidate availability is tracked by phone call and memory.
Margin per placement is calculated at month end rather than known at booking.
What we build:
Credential expiry engine. Certifications tracked with expiry dates that block placement automatically before the lapse, not after.
Timesheet capture. Structured hours submitted by the worker or approved by the client, feeding payroll and invoicing from one entry.
Availability board. Live candidate availability by skill and certification, so a fill request is answered from data rather than recall.
Margin per placement. Bill rate, pay rate and burden calculated at booking so unprofitable placements are visible before they happen.
Why block placement on an expired credential rather than warn about it?
Because a warning is a message somebody may not read, and the consequence of placing an uncertified worker can be a lost client or a regulatory problem. Blocking with an explicit override, logged, gives you both safety and flexibility.
How do you get workers to submit timesheets properly?
Make it the path of least resistance — a text link, a few taps, no login — and make pay depend on it. Agencies that add friction here get photographs, and photographs mean double entry.
Should clients approve timesheets in the system?
Where the client will accept it, yes, because it removes the billing dispute entirely. Where they will not, capture their approval by email against the timesheet rather than losing it in an inbox.
Does this work for both temp and permanent placement?
The credential and availability parts serve both. Timesheets and margin tracking only matter for temp and contract, so those become inactive rather than in the way for a search-focused desk.
