Software for commercial insurance brokerages and MGAs
A commercial brokerage lives and dies on the renewal calendar, and most of them run it out of Outlook. Add certificate requests eating the service team's day and submissions going to five carriers by email, and the operational load has nothing to do with insurance expertise.
Capital and credit. A file opens, documents get collected, a third party decides, money moves, and every step has to be auditable. We have run this machine in production.
Sub-niches covered: Commercial property and casualty, Group benefits and employee plans, Surety and contract bonding, Transportation and cargo, Construction and builders risk, Managing general agents and wholesalers.
You likely have this problem if:
Renewals are tracked in personal Outlook calendars.
You cannot show a client which carriers you approached and what they said.
Certificate requests consume a measurable share of the service team's day.
Loss runs are requested from scratch at every renewal.
Ninety-day renewal lead time is the standard and you rarely hit it.
What breaks operationally:
Renewals are tracked in personal calendars, so coverage of the book depends on who is at their desk.
Submissions go to multiple carriers by email with no record of what was sent or which quote came back on what terms.
Certificate requests arrive constantly and are handled manually, one at a time.
Claims history and loss runs are requested from scratch at each renewal.
What we build:
Renewal calendar across the book. Every policy expiry surfaced as work with enough lead time, owned by a person rather than living in an inbox.
Carrier submission tracker. Submissions and quotes logged per carrier per risk, so the market exercise is a record you can show the client.
Self-serve certificates. Clients issue their own certificates within limits you define, which removes the single largest source of routine service work.
Client document and loss run portal. Applications, financials and loss runs collected once and reused, with automated chasing before renewal season.
Should clients be able to issue their own certificates?
Within limits, yes, and it is usually the highest-return change a commercial brokerage can make. You define which holders and which wordings are permitted; anything outside that still routes to a human. Most requests fall inside the permitted set.
Does this replace our broker management system?
No. The BMS stays the system of record for policies and accounting. The gap is renewal workflow, submission tracking and client self-service, and those work better as a layer that reads from the BMS than as a replacement for it.
How early should renewal work start?
Earlier than most desks manage, which is the actual argument for automating the calendar. Ninety days is standard for commercial risks and almost nobody hits it consistently without a system pushing the work.
Can submissions to carriers be automated?
The packaging can be — assembling the application, financials and loss runs into a consistent submission is mechanical. The market strategy, which carrier to approach and in what order, is judgment and should stay that way.
